Workflowy is a better outliner than OneNote and Notion

If you're capturing notes at work or at home, one of the most tried and true methods is outlining. That hierarchical structure keeps your information in a linear, logical flow that makes reference quick and easy. There are dozens of tools out on the market that offer outlining style functionality, but there is only one that excels when it comes to creating and operating as an outline and that's Workflowy.

Compared to two of the most popular outline-capable applications on the market, OneNote and Notion, you may be saying "but wait, Workflowy doesn't do everything they do" and you would be correct. There are some features that are not represented in Workflowy that can be found in the other applications. However I propose that the capabilites offered by Workflowy when it comes to capturing and managing notes in an outline format outweigh any missing overlapping features from other applications. What it all comes down to is how Workflowy handles each branch of the outline, or in this case, each node.

You see, Workflowy allows an unlimited number of levels, or nodes, within it's outline structure, with each node able to be a page on it's own. It doesn't require the block structure that Notion uses, nor does it have the limitations of files and sections that OneNote has. No, for Workflowy, the state of outlining is based on the idea that nodes can be simple, connected, and easily accessed.

Taking notes quickly

Let's say as an example you're following along with a YouTube video and want to take some notes. You're not entirely sure how to best organize your outline or what content fits best where while watching. With other tools, this can create problems because of complexities in moving information around within the outline. Not with Workflowy though, since every note can be moved anywhere within the workspace, it's a simple matter to restructure your outline to match whatever you need.

Mirroring your notes

How about a situation where you need to reference the same content in multiple places in your outline? Perhaps a definition, procedure, or example that is consistent but needed frequently. No problem here. You can use the mirror function to mirror content across multiple nodes with just a few keystrokes. This is outside of what OneNote can do today, and Notion can accomplish something similar but with more complexity.

Longer Notes

Taking longer notes is easier in Workflowy as well. While OneNote is user friendly to almost functioning like a word processor, it's limitations for quick entry and syncing hold it back. Notion on the other hand struggles with longer notes because of it's block based system. Workflowy handles longer notes easily, with application of heading styles and paragraph formatting through a keystroke all within the existing outline. There's no question in my mind, when it comes to these three applications, which is the superior one for writing.

A powerful tool for more than outlining

Workflowy is an excellent tool for outlining but it can do so much more. Whether you are taking notes, planning tasks using the board (Kanban) style views, creating dashboards on the desktop Workflowy provides simplicity, structure, and ultimately success.
